INSTITUTE EXCHANGE PROGRAM POLICY

Purpose:
To expand academic, research, clinical, and professional opportunities for students and faculty through structured exchange programs with compatible partner institutions, while aligning with the affiliation and collaboration framework of Shaheed Zulfiqar Ali Bhutto Medical University (SZABMU).

Scope:
This policy applies to all eligible students, faculty, and staff of the institute involved in outbound and inbound exchange activities.

  1. Eligibility Criteria

Participants must:

  • Have completed at least one academic year at the institute.
  • Meet the institute’s minimum academic performance standards (e.g., GPA ≥ 3.5 or equivalent).
  • Demonstrate commitment to academic, cultural, clinical, or professional exchange goals.
  1. Objectives & Targets

The exchange program aims to:

  1. Enable at least 1 student exchange placements per programme and 1 faculty exchange immersions each academic year.
  2. Establish formal partnerships with at least 3 new institutions over the next 5 years.
    These institutions should fall into one or more of the following categories:
  • Academic Institutions: Colleges or institutes offering similar or complementary educational programs (e.g., health sciences, biomedical sciences).
  • Research Centers: Institutes focused on medical, clinical, or biomedical research and innovation to support collaborative study or joint projects.
  • Clinical/Healthcare Institutes: Hospitals or clinical training centers where students and faculty can gain supervised practical experience.
  • Professional/Training Organizations: Entities that provide specialized training, certification programs, or workshops relevant to professional development.
  1. Support dissemination of knowledge and cultural exchange through seminars, workshops, joint activities, or shared resources.
  2. Selection Process
  3. Interested applicants submit a formal application including academic records, a statement of purpose, and letters of recommendation.
  4. Applications are evaluated based on academic merit, relevance to exchange objectives, and alignment with institute goals.
  5. Priority may be given to exchanges that enhance institutional partnerships, produce publishable research, or build long-term collaboration opportunities.
  6. Duration & Funding
  • Exchange durations may range from 1 week to 1 academic semester, depending on program goals and partner agreements.
  • Funding support may be available from institute resources; participants are encouraged to seek external scholarships, fellowships, or funding where available.
  1. Participant Responsibilities

Participants must:

  • Maintain ethical and professional conduct during the exchange.
  • Comply with the academic and administrative requirements of the host institution.
  • Present a post-exchange report, seminar, or summary to institute leadership and peers, sharing key learnings and outcomes.
  • Uphold the values and reputation of the institute and its affiliation with SZABMU.
  1. Approval & Administration
  • All exchange approvals shall be granted by the Office of the Director/Head of the institute.
  • The Office of Public Relation Officer will manage partnerships, process applications, coordinate MoUs or agreements, and handle compliance.
  • All exchange activities will be conducted in alignment with SZABMU’s international engagement principles and regulatory norms, including any relevant MoUs or protocols processed through SZABMU’s Department of Global Engagements.
  1. Monitoring & Evaluation
  • The exchange program will be reviewed annually to assess effectiveness, partnership growth, participant satisfaction, and academic outcomes.
  • Program goals and targets will be adjusted based on evaluations and institutional priorities.
